Proper time management is how you will make the most of your work time. The right time management tips, can keep you focused and on top of your game. Time management is essential when it comes to running your business. Every moment you waste that you know you should be devoting to your business success, decreases your revenue. That being said, there is a happy medium. You shouldn’t spend every waking moment of the day and night working. It is equally important to your wellbeing and the wellbeing of your business that you take the time to relax. Since time management can improve the way you work, the following are 10 time management tips that you can put into practice: 1. Understand the truth about time management – You can only do so much in the course of 24 hours, so managing time is essentially about managing yourself and what you do with the time you have. You can’t change time, but you can change yourself. 2. Find out how you waste time – You probably waste time during your day without even realizing it. The internet, although a vital organ of your business, can also be distracting. Are you spending too much time surfing the web or reading your emails? You need to make a record of your daily activities so you can find out where you waste most of your time. If you don’t’ know where you waste your time, you’ll never be able to correct the problem. 3. Maketime management goals – These goals are designed to help you stay productive during specific time slots. For instance, for one week, make it your goal to not answer personal emails while you are working. 4. Trackyour goals – Making plans to manage your time is good, but you need to go beyond setting goals and actually track the goals you commit yourself to. By tracking your goals you can see if you are actually accomplishing what you set out to achieve. 5. Usetools – there are plenty of different software programs available that can help you schedule your time and important dates, such as Outlook. Time management programs can be quite useful if you lack organizational skills and cringe at the idea of “to do” lists. 6. Prioritize – Every day before you begin working, prioritize the tasks you need to get done. Make sure you do the urgent tasks first, and don’t beat yourself up if you aren’t able to complete every task. Maybe you are asking too much of yourself. 7. Outsource – Even if you run a small business it is not necessary to do everything yourself. Think about outsourcing some work to someone who can help free up your time such as ghost writer or a virtual assistant. 8. Create a regimen and stick to it – Even if you reject routines, you need to establish some form of a schedule you can follow most of the time. A routine helps you to stay focused which keeps you productive. Keep recycling your routine until you can get into one you are comfortable with. 9. Set time limits – If you don’t give yourself a time limit you can spend the whole day at one task. For instance, spend only one hour a day answering emails, and go back to it later if you have free time. 10. Put waiting time to good use – There are many times that you are forced to wait for something or someone. Instead of boring yourself while waiting for the doctor, dentist, etc., take something with you that will occupy your time and you need to get done. This could be anything from reading to balancing a checkbook, or jotting down business ideas. Remember, when all is said and done, you need to develop time management goals that work for you. Even though your friend or colleague may have a great plan that works for them, everyone has their own personal techniques that work to help keep them focused. Once you find the time management strategies that work for you, stick to it!

Most of us already know that in order to achieve our goals wehave to utilize time management. But what is time managementreally about? It’s about managing your actions! By utilizingtime management we can take more productive action in the dayallowing us to get more things done, plus, allowing ourselvesfree time to do what we want to do (for me that means fishing). However, time management is only a means to an end when it comesto getting things done. It’s a very important and powerful tool,but a tool nonetheless.

I can think of countless people, very smart people, who fullyunderstand exactly what time management is. Many have even spentthe time reading entire books on the subject. Most of thesepeople still get nothing more done than before they studied timemanagement! Why? Because they fail to take action and use theirnew knowledge and skills. This means that the time they spentreading the time management book was actually a waste of time!

If you don’t fall into the trap above maybe you have the sameproblem I had for years. I’ve always been very motivated andlove to take action to achieve my goals… However, until recentlymy problem was that I would start to take action on a project butI’d let myself get sidetracked and before I knew it I’d move onto other project and start working on it without ever havingcompleted the one I already started. This left me with severalgreat ideas that I’d taken action on but I had completed andachieved nothing.

The method I used to get over the hump in my time managementaction process was very simple… I used an action list to plan myday. In fact, I still use a list. When I start working in themorning (I work from home so it’s usually whenever I get up) Ispend a few minutes reading my email then I make a list of howI’m going to spend my time that day.

Think of it like a list of tasks to accomplish that day. I alsoblock out time blocks as to when I will work on each taskthroughout the day. If I run out of time on that task beforeanother starts on my schedule I will stop that task and start thenext one to keep on my planned schedule then come back to thefirst task later in the day during a time slot that I hadreserved for unfinished work.

The way I plan and execute my day certainly works very well forme; however, it may not work for you. You need to come up withyour own method of planning, and putting your plan into action toachieve what you want to achieve. If you’re working from home,turn off the TV and stay focused on what you you want toaccomplish during your workday. Stay motivated and avoid puttingoff your work because something “came up”.

Time is “all time” great! It is fleeting! You can never catch it!

Time and tide tarry for none!

You know the good old saying, “If wealth is lost, nothing is lost, if health is lost, something is lost and if time is lost, everything is lost!”

What is time management? The time concept of the spiritualists is different. The time concept of the materialists is different!

How many all-time great definitions can be given about time?

“A stitch in time saves nine!” What nine? I do not know.”Do right things at the right time!” No doubt about it. One should not do the right things at the wrong time or wrong things at the right time!

You have 24 hours in a day. I too have that many hours only. Then how is that you are a better organized person than me? How is that, you always looked a stress free, relaxed personality, though handling various complex situations and take important decisions?

That is because, you have better time management concept. You do everything systematically! I am always confused about priorities. What to handle when! The golden rule is never to postpone things for tomorrow, what you can do today. I would like to go even further. Tomorrow never comes; today will be too late; do it just now!

To say it poetically about time management:

“One thing at a time, and that done well,Is a very good rule as many can tell,So, if you want to gain your way,Work while you work and play while you play!That is the way, to be happy and gay!”

Right things happen at the right time and sometimes, wrong things happen at the right time. But when you stay away with this golden rule of managing your time well, you are definitely going to experience lots and lots of stress.

Stress does not come on its own. It always travels via various careers such as tensions, frustrations, anxiety and others.So, manage your time today so that you don’t look for stress management counselor tomorrow.

Why You Have No Time To Start Home Business? Yes, if you are not organized, your time management plan will fall through in most instances, however if you have an organized plan, you are well on your way to success. Organizing plays a large role in managing time.

When we are not organized, we are sending messages to other people. In addition, as you can see organizing is part of the plan. With confident I can write this article, since in my past, I had great problems with staying organized. I tried desperately to manage my time, which often failed, since I did not have the ability, or thought I did not have the ability to organize.

On my road to recovery, I learned a few special techniques that I would like to share with the readers, since someone, I am confident, will thank me for writing this article.

Many suffer as a direct result of time management negligence. Studies have reported suffering that included frustration, remorse, anxiety, and low self-esteems. When we are not organized, we do not have one of the essential tools to manage our time. So to begin, let’s get organized!

Setting priorities is the start to organizing and setting a time management plan. Organizing brings forth a more productive lifestyle.

First, you must start by not leaving your personal and work belongings floating around. If you desk and room are cluttered, and you run around like a chicken with your head cut off trying to figure out where you put that important document, then you are unorganized and your time is not managed properly. If you have stuff lying around you do not need, it is wise to toss it in the garbage, since it only taking up space, and confusing you as to what is important. You can also start by placing your documents in storage areas appropriately suiting for the documents. Some of us prefer to place our documents in alphabetical order, but other prefers to store the documents by file name.

Next, you want to place your bills and other important papers in a folder with a file name. For example, if you have bills place the phone bill in a folder named telephone.files. Avoid vague file names since it can only confuse you later. As an editor and author, I learned the golden rule, which I feel applies to all situations in life. That golden rule is KISS. (Keep it Simple Stupid). By keeping it simple, you will not feel stupid later. Create a separate file for your warranties, financial statements, insurance proofs, as well as keeping your birth records, marriage license, passports, or other important documents in a separate file. Again, be sure to label the files specifically so there are no confusions later. When you receive bills or other important papers in the mailbox, be sure to deal with each situation accordingly and in a timely manner. If you receive a lot of junk mail, toss it. Most junk mail has nothing to offer us, and often are gimmicks to lower us in a scheme. If you can’t hang with the big dogs, stay on the porch with the puppies to avoid getting taking for a ride! This advice also includes emails. If you are, on a job, that requires the use of computers and you have your own mailbox…

DO NOT give your mail address to any one that isn’t associated with your business. This will help manage your time, and keep you organized. At least once a week if you toss out the junk, clean up the goods, and organize your important documents, you are well on your way to organizing a time management plan!

Are you someone who makes lists of all the things you need to do? At the end of the day when you review your list, are you disappointed because you haven’t accomplished as much as you would have liked. Does this sound familiar to you?

We hear a lot about time management and how we need to organize ourselves and manage our time more effectively. In order to regulate our time, new ways of thinking and being need to be developed. Our attitudes and beliefs need to be identified and at times altered in order to make beneficial changes. We need to develop self management strategies. When we manage ourselves better we tend to be less overwhelmed, more productive and happier.

There are various models for time management. One is making daily and/or weekly lists, then prioritizing which items are the most important and tending to those first. Of course the challenge is that is if you don’t like some of the tasks, you probably tend to avoid doing them. (I know this strategy intimately.) It also does not account for all of the complications which arise nowadays on our job. Emails, voice mails urgent requests which must be dealt with immediately, or conference calls; all of the modern technology which has made our lives easier and more complicated at the same time. We are generally expected to do more in less time and with less support.

Steven Covey in his book, First Things First breaks tasks down into 4 quadrants:

* Urgent and Important, * Not Urgent and Important* Urgent and Not Important* Not Urgent and Not Important

There is a great deal of value in this model and certainly gets one thinking about how to define the many things one has to do. The difficulty is that important projects can become urgent if one has procrastinated and that isn’t necessarily a helpful way to operate. It would also be relevant to identify what is important to you and spend time doing that as well, because it might never become urgent. For example, your family may be very important to you, but you frequently miss your child’s school or sporting events. Or your partner wants to spend more time with you, but somehow you don’t make it happen. It’s important, but not urgent. The other concern is when do unimportant things get tended to.

So how can we get things done in ways which are more productive and less stressful? David Allen, author of Getting Things Done, states that it is not about managing time, but rather about managing our actions. What would it be like for you to fully dedicate 100% of your attention to whatever task was present, of your own choosing with no distraction? Allen says it is possible to get things done with minimal effort in both your personal and professional life while staying relaxed. Athletes describe it as being in the “zone.” His strategy is to first get you thinking. What is something you want to accomplish? What outcome do you want to achieve and what is the very next action you need to do in order to move your project forward? Try this exercise and notice if there were any changes in your mood and perspective.

In addition, Allen has identified a five stage method for managing workflow.

These are described as:

* Collect things that command our attention* Process what they mean and what to do about them* Organize the results* Review as options for what we choose to* Do

This way of looking at things seems reasonable and many of us probably do something which resembles this. However, difficulties arise if there is a breakdown in any of the stages and ultimately it leads to what we choose to do or not do.

Allen’s model for choosing actions in the moment include the following:

Context – Does it require a particular location (office, home) and what tools are required (computer, phone, etc.)

Time Available – When do you have to do something else? If you have a conference call in 15 minutes, then there many things you won’t be able to do.

Energy Available – Evaluate how much energy you have in the moment. Some tasks may require more physical energy, while others need creative energy

Priority – Given your context, time and energy what action will give you the biggest payoff? You are at your office and you have 30 minutes before a meeting and your energy level is low. View this as an opportunity to rely on your intuition to determine what to do next. Perhaps reading your emails or proofreading a report is the most you can manage.

We need to think about our work before we do it. Planning for it, as well as paying attention to what we are thinking and feeling leads to greater productivity with less effort. What better way to then have the time to do more of what we really enjoy!

There are a number of reasons most time management programs don’t work for you or anyone else, but the biggest reason is because most time management programs don’t take a holistic approach to the problem. Almost never are you having difficulty with time issues because you don’t know about a technique or system. You are having trouble with time issues for reasons that are very specific to you. Until you know and understand what specific to you is getting in the way you can’t even hope to get your time troubles out of your life.

Many time management programs are focused on a day planner system. There are a number of day planner systems that include time management programs either with them or have them available for sale. Yes, you will need to use a day planner system to gain control of your time but there isn’t one day planner system that is perfect for everyone and until you know your exact behaviors that are causing your time management problems you aren’t in a position to choose a day planner system. You need two key pieces of information before you spend one penny on a day planner system. You need to know your own problematic behaviors and you need to know what you want to get out of or from the day planner system.

Sometime time management programs are focused on certain techniques that are supposed to resolve all of your time management issues. Again, I highly doubt that there are magical techniques out there that you have never heard of. But even if there are, the ones that will be important to you are the ones that address you and your specific needs. So, even if you know about the technique you probably don’t recognize its value in relation to you and your needs.

Rarely do time management programs address you and your specific needs because they are designed to help the masses rather than to help just you. The next time you pick up a prescription from the pharmacy read the insert the pharmacist gives you with the medication paying close attention to the information about adverse events. Drugs only have adverse events in a very small percentage of the population or they don’t get approved by the FDA. That’s great right? Well, it’s great unless you happen to be one of the people in the small group that has that adverse event because now for you it is a 100% occurrence. The correlation here is that what may work for the masses and be a great solution for most people may have zero value for you, and you are the only person you really care about.

Rarely do time management programs include the personal support you need to make the changes that will have the highest impact and most value for you. You can’t see your own blind spots, that’s why they are called blind spots and those blind spots that you can’t see may be the very behaviors that are causing you the most damage in your efforts to get control of your time. Outside personal support can help you to identify those blind spots and help you to get results faster than you ever could on your own. When or if you ever played sports you had a coach to spot your bad form, to show you the correct form, and to help you practice it so you didn’t keep making the same mistakes. Same concept applies with how you handle time. Why make it harder than necessary and prolong the stress?

Frequently time management programs are given in a workshop or seminar format. Workshops and seminars can be highly motivational and you can walk away with some great ideas. The big problem with that format though is that you will forget 50% of what you heard after one day and after two weeks you will remember less than 16% of the information you were exposed to. Obviously, if you want to make real life changes this isn’t the best format for the problem.

As a Life Coach, and after coaching many different clients, I have come to realize that to effectively manage time, we need to first realize that time itself cannot be managed! We all get seven days a week and 168 hours within those seven days. This cannot be increased or changed in any way. However, what we can change, improve and manage is ourselves. In essence then, true time management now becomes management of ourselves – “self management!”

So being aware of this, we now know that it’s not the amount of time we have that’s important; it’s how effectively we use that time that makes the difference. Successful people have exactly the same amount of time in the day as each of us. The only difference is they use their time differently – more effectively.

You might say “I don’t have the time to commit to learning some time management skills”. I hear this a lot during life coaching sessions, but the fact is if this were true, do you really think you have the time not to?

Time management principles and techniques are usually quite simple to learn. They do not require deep thinking, a high I.Q or lots of preparation. In fact if you were to put the search term “Time Management Resources” into a search engine you will get dozens of websites offering help, advice, tips and suggestions on how to manage and prioritize your time.

To sum time management up I would say you need to ask yourself two questions:

1. Do I physically have enough time to do the tasks that are required of me? We only have so much time. Sometimes it’s not always physically possible to fit everything in. If this is the case then you need to prioritize and drop some of the low priority task/activities to claim some time back.

2. Do I fully optimize and use my time effectively? If the answer is NO then you might want to learn and implement some time management principles and techniques.

Below is a list of some time management (self management) techniques and tips that I use during life coaching. You may find a couple of them helpful yourself. They are in no particular order.

* Figure out when (what time of the day?) you work most efficiently.

* Establish your priorities for what you want to get done. Identify the tasks and activities that are the highest priority and eliminate those of low priority.

* Allow more time than you think you will need. This makes your schedule flexible and allows for the unexpected.

* Get into the habit of using your odd five minutes here and there more productively. Don’t just dismiss it as only five minutes – they add up throughout the week!

* Accomplish one or two important tasks rather than lots unimportant ones.

* Keep a calendar/diary. Mark all your important dates/tasks.

* Keep a list of “Things to Do” and mark them off as completed.

* Every day make a list of what you have to do tomorrow.

* When possible do the unpleasant tasks first.

* Tidiness makes your life easier and reduces stress.

* Allow time to relax, recharge and do nothing.

* Leave time in your schedule for un-planned activities.

* Know your strengths, skills and weakness.

* Ask yourself, “What am I doing that someone else could do for me?” Delegate!

* Don’t be scared to ask for help

* Bin things straight away to reduce the clutter (junk mail, newspapers and spam email etc).

* Divide large overwhelming tasks into smaller chunks, and attack them one at a time.

* Complete at least one task each day that you don’t like to do, but know you should.

* Realize that all your email checking, surfing the internet and other procrastinations add up to hours of lost time each week (sometime even each day!)

* Watch less T.V. If you watch T.V for three hours a day from the age of five years old, by the time you are fifty five the amount of T.V you will have watched will be the equivalent to watching non-stop 24 hours a day for six years and three months. If you cut this down by just one hour a day, so then only watch two hours of T.V, you will have gained back over two years worth of time.

* Plan with Care: You have to be clear about what should be done, how should be done and when should be done. It is necessary that you estimate the time required for the completion of every task. While doing so give allowances for emergencies and calculate the total time. Prepare a work schedule with the estimated time. Your time plan must be put into writing. This time plan chart should serve as a reference for your performance. As soon as works get finished modify the time plan and keep it updated regularly.

* Organize Tasks: When doing tasks it is advisable to have a priority list. You should identify important tasks and give them top priority. According to the priorities set by you clearly define in writing what should be done and when. This would help you complete crucial tasks without hiccups and help you retain clients, their satisfaction and your credibility.

* Never Postpone: Procrastination is really a dangerous syndrome that can affect you gravely. When you work from home there is no one to supervise you and control you. You are on your own. In such a situation it is very easy to procrastinate things. But this bad habit would prove fatal to you and deviate you from the path of success. So never procrastinate tasks. Finish on time, if possible ahead of time, what is to be finished.

* Have a Contingency Plan: Despite the precautions a virus may creep into your system and it may get down suddenly. What do you do then? It is not about what you do when the crisis arises. It is about how prepared you are to face a crisis. So be better equipped to handle emergencies. Have a set of friendly fellows (work from home co workers) to lend you a helping hand with important tasks at the needy hour. And you also devote some time in your schedule to help others when they need. After all business/work is all about mutual benefits. Isn’t it?
