Common Time Management Errors to Avoid

There are more strategies available for better time management than there are seconds in a month, and new methods are being introduced daily. While the effectiveness of any single “system” may be difficult to discern, it is clear that there are some behaviors one should avoid when trying to maximize his or her efficiency. We may not always know the best way to handle time, but we certainly know a few things to avoid. Let’s look at two common time management errors to avoid.

It’s all about Will Power

It’s easy to tell ourselves that the only thing standing in the way of better time management is increased discipline. If we could only be tough and dedicated, we say to ourselves, we could avoid wasted hours and redirect them toward productive pursuits. All it will take is a supreme act of will.

That mode of thinking has ruined more efforts to improve time management skills than one might believe. Here’s why: the will is invariably weak. Our humanity is formed, at least in some measure, by our inability to resist temptation. It is certainly shaped by our tendency to embrace and reinforce habits. Trying to wish away those traits with a bit of will power is unlikely to produce results.

Yes, dedication is important. Success, however, is far more likely when that commitment is accompanied by a removal of time-wasting temptations and other concrete steps to make a fall from time management grace less likely.

The Danger of Precision Timing

Many who embark on their first effort to improve their time management skills begin by constructing daily schedules. Mere “to-do” lists are inadequate. They feel the urge to plan their day and their actions to insure maximum efficiency. That intuitive strategy can actually be quite disastrous.

When things run long or when an unexpected happening occurs, the tightly-constructed schedule doesn’t yield. It simply becomes more crowded and the list-keeper’s unwillingness to accept the fact that life doesn’t comport to a schedule results in things not getting done on schedule. Soon, one is a few days behind schedule with little opportunity to catch up. Often this precipitates a decision to give up on better time management.

One should never put too much faith in will power. Nor should they expend too much effort trying to list out every project with a precise time limit. Both of these errors will quickly derail a time management improvement activity.

You may not be certain which time management strategy will fit you best, but you can be sure that avoiding the twin pitfalls mentioned herein will increase your chances of effectively taking control of your life.

Avoid Procrastination With These Simple Steps

Many of us suffer from an undiagnosable condition called procrastination. We procrastinate with everything; we put off what we could do today until tomorrow. Then, when we get to tomorrow, we procrastinate and put it off until the next tomorrow. Fortunately, you can avoid procrastination by following a few simple steps.

The first thing that you can do is to start budgeting your time. Think of all the things that you have to accomplish over the next few days and prioritize them. Think of how nice it will be to get everything done that needs to be done. Look at what the most important task on your list is and just go at it. Once you finally get that one tasks done, do not stop to celebrate. Instead of taking a break, go right into the next task.

You can avoid procrastination by avoiding breaks in between tasks. Most of the time when we finish one thing we will stop to take a quick break that will actually turn into a very long break. When that long break is done, we do not feel like returning to the next task.

You can also stop putting things off by planning your days in advance. Before you go to bed each night, you can pull out a piece of paper and make three columns. Prioritize the most important tasks in the first column, then the less important tasks in the third column. Finally, put everything else in the middle. Work out an exact schedule of when you will be getting the most important tasks from the first column done during the next day. After they are done, mark them off and the next time that you make your list, you can replenish the first column with tasks from the second column.

Time management is the answer to procrastination. Just plan out your days and you can stop putting things off right now… or tomorrow if you would rather.

How to Avoid Procrastination and Be a Doer

To be a doer means to take action. To implement the things you’ve been putting off doing. Thinking is passive. It is comfortable because it doesn’t require very much out of us. Doing is active. We avoid doing because it requires a lot of time and energy. Frankly, most of us just don’t have enough of that at the end of the day.


Following these tips will help you to stop putting your energy toward thinking, and focus it on doing instead.


If you’ve been involved in something like Internet Marketing or business for any length of time, you know that there are a million different reports and a million different people telling you what to do. They are probably giving you excellent advice.


The trouble is, it takes so much out of you to actually to follow through with your plans. You know what it takes to be successful. The next level is to actually take those steps and achieve your goals. What you need is a solid plan. You need some actions that will stop your brain from thinking, and catapult you into action.


Admit That You Have a Problem


This sounds like a line from a recovery program. Yet, it can work wonders in helping you to overcome your procrastination problem. Admit that you are a procrastinator, and the other tips will sink in beautifully.


It is easy enough to blame others for our problems. You can say “oh, the baby was fussy so I didn’t get any work done” or “they didn’t give that to me in time so I couldn’t do it.” However, these are excuses. Admit that you alone hold the keys to your success, and you’ll go a long way toward overcoming procrastination.


Say “I Don’t WANT to Procrastinate Anymore!”


Saying things out loud give them power. You need this power in order to take control of the problem. You DON’T want to procrastinate anymore, so make it so. Actions speak louder than words, but these words can help guide you.


Admit Guilt


Some people may always feel very guilty when they procrastinate. You may have a constant nagging feeling that you should be doing the work you’ve been putting off for ages.


If you have this guilt, admit it. Admission will help get a load off of your mind. You’ll be surprised at how light you’ll feel once you pinpoint the guilt and own it.


Take Stock of Your Procrastination


Ask yourself what things you are currently procrastinating on. Write these down! Getting details down on paper gives your mind space to breath.


Your mind can only hold so much in without feeling overwhelmed. Then, guess what happens? You get the urge to procrastinate because you can’t deal with it all.


So, get it all down on paper. This will help you to stop thinking, and start doing.


You CAN break the procrastination cycle if you put your mind to it. Remember, stop thinking about all that you have to do, and start doing it.

Excuses People Use To Avoid Learning Better Time Management Techniques

Did you know that as people, majority of us do not spend anytime planning our day? It is said that we will spend more time planning a vacation than we do to plan for our lives.

Are you one of these types of people? If so, then to better leverage your time, you need to learn proper time management techniques. It is the most important thing you can learn do to get more accomplished with the time you have.

So what is keeping you from learning these techniques? What are the excuses you tell yourself for not preparing the tasks ahead of you?

Well, there are two excuses that most people give for not learning to better managing their time. We will discuss both of these excuses in detail and show you how to overcome them so you can more efficiently manage your time.

Excuse #1 – I don’t have the time

Surprisingly, not having time is the most common excuse that people give for not learning time management techniques.

Now think about this for a minute, is this a legitimate excuse? Of course not! What these people are really saying is that “I enjoy the hustle and bustle of life that leaves me with little time in my day.”

Because if they wanted more time, they could do the one activity, above all else, that would leave them with more free time in their schedule – learn time management techniques.

Either these people do not place a high enough value on time management or they do not understand the importance of it.

Excuse #2 – I really don’t need to learn to manage my time

The people who use this excuse are usually thinking, “I already know what I have to do, so why waste time learning when I can use that same time to start doing?”

Of course there are always routine tasks that need to be accomplished that we can easily remember and strategize in our heads, but what about the things that are not so obvious? What about tasks that are larger goals that relate to your deepest values? What do you truly want out of life? What do you want most from your career and family setting? These things aren’t so easy to mentally map out.

With the right time management strategies, you can ask yourselves these important questions, which will help surface tasks that are more important to your goals. And these tasks will invariably lead to you doing more of what will help you in reaching your dreams.

So although you might complain that you can’t get everything done because you don’t have the time, the truth is, you do have the time. You are simply holding onto excuses that are keeping you from learning better skills. By letting go of these excuses, you can learn time management techniques and strategies that can help you enjoy all the time you could ever need.

Paul of Tarsus said in his writing that, “the things I want to do, I do not do.” This is a problem that is as old as humanity itself. I am sure that the wheel would have been invented and fire discovered much earlier if it weren’t for procrastination!


Humans have two incredible abilities: First, they are able to become crystal clear about what it is they want. Secondly, they are able to completely put off pursuing it!


So what drives procrastination? I believe there are a few primary things that cause people to procrastinate.


Fear. In my opinion, this is the biggest source of procrastination. People procrastinate because they are afraid. They are afraid of failure; they are afraid of success. They are afraid they will do a poor job or of what others will think of them. I want to encourage you to think about whether or not this is an issue for you. If so, do whatever it takes to deal with your fears.


Hard work. Some people procrastinate because they know that doing the work will be hard. Many people have an aversion to hard work so they procrastinate, putting it off indefinitely. Realize for yourself that being successful usually requires a lot of hard work. Sometimes it is physically exhausting, sometimes mentally or emotionally exhausting. But let me assure you of this, if you invest in the miracle of hard labor required to accomplish your goals, the rewards, the gifts, the feelings of increased self-esteem you will reap will far outweigh the pain of labor. For at the end of your efforts you will be able to smile with the deep satisfaction of knowing you have faithfully sowed and that now you can joyfully reap – and reap without complaint or apology! What a powerful opportunity to invest in the labor that creates miracles.


Lack of passion. In other words, whatever it is that they are doing isn’t really something they are passionate about. Some people procrastinate because deep down they aren’t really passionate about what it is they “should be” doing.


It isn’t really a priority for them or for their life, even if they have called it one. This is an issue of going back to the drawing board and becoming clear about your priorities and values, then having the courage to live them out.


An inability to motivate themselves. Some people procrastinate because they do not know how to get themselves going internally. They wait until something externally moves them. You’ve heard me give the example of the guy who says, “I wish someone would come by and turn me on and get me motivated.” Well, what if they don’t show up?


You’ve got to have a better plan than that, you’ve got to be self-motivated because that is ultimately the best motivation. Now, everyone is motivated differently, and it is your job to figure out what it is that really motivates you. And then do what it takes to get there and stay there.


Time wasters and procrastination are the roadblocks that will keep you from reaching your goals. Work to become aware of what things you waste your time on and what drives your procrastination. As you come to realize these things, as you become fully aware, you will be better equipped to overcome them.

You’ve heard me give the example of the guy who says, “I wish someone would come by and turn me on and get me motivated.” Well, what if they don’t show up?


You’ve got to have a better plan than that, you’ve got to be self-motivated because that is ultimately the best motivation. Now, everyone is motivated differently, and it is your job to figure out what it is that really motivates you. And then do what it takes to get there and stay there.


Time wasters and procrastination are the roadblocks that will keep you from reaching your goals. Work to become aware of what things you waste your time on and what drives your procrastination. As you come to realize these things, as you become fully aware, you will be better equipped to overcome them.

In the United States there is a chain restaurant called Joe’s Crab Shack.  Since 1991, this hugely successful business has had the slogan “Free Crabs Tomorrow”.  In all that time no free crabs have ever been served for the simple reason that ‘tomorrow’ never comes. 

 

Resolving to do something tomorrow can be pointless because that day will never arrive.  When the day you call ‘tomorrow’ arrives you will call it ‘today’ and the following day will then become ‘tomorrow’.  Even if you sincerely mean to do something the day after today, you never know exactly what that day will bring.  I know it’s a cliché, but there really is no time like the present to get something done.

 

Procrastination is the thief of time.  It is basically poor time management combined with a lack of discipline.  Habitual procrastination is one of the biggest obstacles to progress, achievement and success.  It takes time and determination to change but the good news is that it can be done.    

 

Let’s have a look at what causes procrastination.  In many cases the task at hand appears as too complex or so large that we don’t know where to begin with it.  If something is boring or unenjoyable then it always seems very easy to find something better to do.  Perfectionists are often prone to procrastination because they fear they won’t be able to accomplish the task as they would like.  Often we delay having to make an important decision because we are afraid we’ll make the wrong choice.

 

Procrastination can have a demoralising effect to your business and personal life.  The worst consequence of delayed action is that momentum is stalled.  The progress that was happening is suddenly stopped due to fear, indecision, lack of motivation or simply poor discipline.  As performance suffers, your self-esteem drops and it can be often difficult to regain the direction you had.    

 

If you’ve ever procrastinated doing something you can probably identify with these consequences.  It’s important therefore, to know what you can do to avoid it.  While these things are usually easier said than done, following some simple guidelines will definitely offer improvements.

 

1.  Create an environment that is free from distractions.  This will give you a peaceful place to contemplate and make important decisions.

 

2.  Create a ‘to-do’ list and prioritise the tasks.  Don’t deviate from doing what are the most important.  Ticking them off as you complete them will create momentum. 

 

3.  Do the most difficult, mundane or unenjoyable things first.  Reward yourself in some way for completing them but deprive yourself if you don’t!  Once they are accomplished, the way is cleared toward your overall goal.

 

4.  Break large jobs down into smaller, more manageable ones.  This will offer you a sense of progress and maintain your motivation.

 

5.  A very important part of avoiding procrastination is creating deadlines for tasks to be completed.  This prevents them from taking longer than necessary.  A key to successfully doing this is to make others aware of your deadlines.  That way you will create a stronger sense of urgency and be less inclined to extend or ignore them.

 

A very close relative of weak phrases like “I’ll get around to it” and “I’ll do that some day” is “I’ll try”.  There’s no place in the business battlefield for this vocabulary.  Either you do it or you fail to do it.  A harsh reality of the business world is that nobody cares greatly if you tried.  They want to see results and success.  So don’t tell anyone, including yourself, that you will try to do something.  If you make a positive statement such as “yes, I will do it” you aren’t giving yourself an excuse for failure.

 

Avoiding procrastination is particularly important when you are self-employed.  Often your very livelihood depends on the success of your business.  You cannot afford to have it obstructed by indecision and not getting things completed in a timely manner.  When you make goals they need to be done with honest commitment.  Without this, a goal is merely hope in disguise.  With a firm dedication to the task though, you’ll soon see tangible and measurable results.

 

Perhaps even more important than continuing a project is actually starting it.  Once again, the same reasons for procrastinating come into play.  The idea may seem too daunting, the fear of failure may loom large or the logistical aspects may seem too complex.  Sometimes it’s easier to focus on the reasons why something shouldn’t be done but these are hurdles that must be cleared.  The key is to become more positive and find the opposite reasons to your doubts.

 

Instead of the possibility of failure, contemplate of how your lifestyle will change when you are successful.  Of course there is a lot to think about in starting a business but it can be done a step at a time.  Think of helpful resources rather than how difficult the task may be.  Believe in your own abilities.  Every problem has a solution and these are the key to avoiding the terrible habit of procrastination and moving forward confidently in the direction of your dreams.   

 

Another common reason we procrastinate is what we commonly refer to as the ‘comfort zone’.  We delay making changes because we are comfortable in our existing situation.  It’s only when that begins to deteriorate that we feel any sense of urgency to make a change.  Once again, this requires a shift in our thought patterns and also using our imagination.  It’s an opportunity to dream of what could be and what awaits us if we actually take action.  Comparing in your mind the reality to the potential is generally good motivation for ceasing procrastination.  

 

Words have exceptional power and it’s often the smallest that have the most impact.  Phrases like “I can’t”, “if only”, “it won’t happen”, “not today” and “no” are crippling weights that suffocate us both personally and in the business environment.  If you ask yourself a question and get “no” as an answer you basically have two choices.  You can accept defeat and quit or you can use it to fuel your determination.  You can view it as a temporary setback that makes the challenge more interesting.  It doesn’t need to be a reason for inaction.  Let it be a catalyst for making the required changes so that when you next ask the question of yourself you receive a resounding “yes”.

Avoiding procrastination can be like procrastinating about procrastination! When we procrastinate we avoid doing something for a variety of reasons from the mundane to the extreme in the end the task is put of till another time that may never come.

A few reasons we procrastinate:

* Fear of failure – Why try when you might fail!

* Fear of success – I can’t handle the responsibility of success!

* Poor time management skills – I just can’t find time to do anything!

* Lack of priorities – Smoking pot is so much more important than studying!

* laziness – I just can’t be bothered …

Some of these procrastination reasons are easier to deal with than others but one quick way to avoid procrastination is to realize when you are about to procrastinate or when you are procrastinating and do something about it. This does not mean doing the thing you are trying to avoid maybe but a good step to get you more productive is instead of wasting time on something trivial to instead find something else to do very quickly and literally avoid procrastinating by finding something productive to do an anti-procrastination action … confused? Well next time you start to surf the net when you need to do the MASSIVE pile of dishes you just do not want to do get up quickly and go and sort your sock drawer, or maybe do a set of push ups or maybe order your inbox. These actions might seem like more time wasters but if they are actually something that needs to be done no matter how minor it is a small win compared to doing something that achieves nothing!

You can also build on this if you find yourself doing minor things as an excuse to avoid doing something unpleasant find something easy but important to do and do it now! Eventually you will find you build a habit that makes it easier to get things done on time with good time management. This is an incremental process but try it and see what a difference it makes!

4 Steps To Avoid Procrastination And How To End It Now

In deciding not to procrastinate, you may want to accompany this determination with clear cut and well defined goals.

In other words, have a goal that is quantified, and not just qualified.

For example, saying “I will lose weight” is NOT as powerful as “I will lose 35 pounds in 1-1/2 years.” These are concrete data you can work with. “I will lose weight” sounds noble enough, but let’s count the ways, shall we?

Tip # 1 Everything starts and ends with the self

If someone said to you that you were a procrastinator, your immediate reaction would be to defend yourself. “It’s his fault”, “My mother was like that too”, “I was forced to do something I didn’t want to do”.

Some people like to blame their misfortunes on others. But the truth is, you are equally at fault. You procrastinate because you yourself choose to procrastinate. The sooner you accept that, the better you’ll be able to overcome procrastination.

Tip # 2 I want NOT to procrastinate anymore

In line with tip # 1 above, once you accept that procrastination is your weakness, the next step is to eliminate this weakness. Your desire not to procrastinate anymore should be sincere. You need to demonstrate that determination through small daily gestures.

Tip # 3 Mea Culpa-Take Responsibility

You’ve accepted the fact that (a) you’re a procrastinator, and (b) you have a sincere desire to change. Now tell yourself that if you fail to achieve a particular goal or a given task, it’s because you procrastinated. Mea culpa. Admitting guilt is a giant step.

Note, however, that there is a huge difference between admitting guilt and being too hard on yourself. Admitting guilt is taking ownership of your actions. Being too hard on yourself is unjustified self-blame. Continue from where you left off.

Tip # 4 Ask: In what ways do I procrastinate?

Ask yourself, “In what ways do I procrastinate?” Sit down with pen and paper. Writing them will help you focus and identify them more clearly. Here are some ways where people procrastinate:

1) paying bills which includes your electricity bills, handphone bills, mortgage bills etc

2) not discussing the complaints you’ve received about a member of your team for fear of hurting his/her feelings

3) repeatedly postponing a dental appointment because you’ve got better things to do

4) not returning the call of your son’s teacher because you know what the problem is and you’re fed up

5) not discussing your resentment about your husband spending too much time at work or with his buddies

6) not getting that hair cut, that dress dry-cleaned, that donation mailed

7) not visiting a sick relative in the hospital

8) not telling your significant other you no longer love her/him

9) not calling your doctor about that persistent numbness in your right arm or not fixing a colonoscopy exam date

10) not having the car’s squeaking brakes checked

11) not going to confession because you never know what the priest’s schedule is

12) not sending that overdue thank you note or making that overdue call to your mother-in-law.
